The brief
Associations, residential committees and clubs usually collect names, addresses and email addresses from their WhatsApp groups by hand: messaging everyone one by one, copying replies into Excel and losing track of whoever never answered. We built a registration bot and admin panel that take this over. The bot reads the group’s members, messages each of them privately at intervals and gathers the details in a natural, AI-assisted conversation. It asks again when an answer is missing or invalid, then shows the person a summary and waits for confirmation. Admins follow everything in an encrypted panel or through commands sent on WhatsApp. Because the bot handles personal data, the panel is not public; the screenshots here come from its demo mode, populated with fictional people.

Approach
Three decisions that shaped the project.
A conversation, not a form
Instead of firing off fixed questions, the AI extracts fields from the replies, validates them and answers questions such as “what is this for?”. With AI switched off, the bot falls back to asking in order.
Built around personal data
Personal fields, uploaded documents and backups are encrypted on disk with AES-256-GCM. Panel logins are rate-limited, and admins can permanently delete a record together with its uploaded files.
Sending that protects the number
Messages go out at configurable intervals and only within set hours. After a restart the bot resumes where it stopped, and it emails the admins if the WhatsApp connection drops.
